Registration
Where can I request a BSN number?
There are 2 options in case you need to request a BSN nummer:
- If you are registered at a Dutch municipality you can get the number by going to the Gemeenteloket with your passport.
- If you're not registered you will have to make a phonecall with the municipality of Heerlen (31-45-5605040). An appointment will be made.
InterUM cannot pay you without a BSN number!
Does InterUM merely offer student-jobs?
Besides academic student jobs, InterUM offers positions for secretaries and administrative support. For the last type of jobs knowledge of the Dutch language is required.

Do I need to get a Dutch health insurance in case I'm employed through InterUM
Yes, in case you are working in the Netherlands, you need to be covered by a Dutch health insurance. Some health insurance options can be found at this site.

I would like to note my working hours via InterUM Konnekt. How do I do this?

When do I need to send in my timesheet (urenbriefje)?
The hours worked must be sent via InterUM Konnekt to your supervisor at least the Friday before the paydate. See the download Payment Schedule. In case the delivery is too late, the transfer of the salary will be shifted to the next payment date.
I forgot my password from InterUM Konnekt, can I receive a new password?
You can request a new password yourself via InterUM Konnekt. Access the login screen via InterUM Konnekt for employees and click "Forgot password". Fill out your user name or the e-mail address that InterUM has registered. You will now receive an e-mail with your username and a new password that you will need to change after logging in.
How do I know which weeks have been paid from the salary slip?
The period on the salary slips can be explained as follows:
Contracts based on a fixed amount of hours: the 4 indicates InterUM's 4 weekly payment. The next number shows the periode in the calender, see following scheme: Period scheme
Contracts based on flexible hours: the W and the corresponding number show the number of the week and the hours that have been worked in that particular week.
Will I receive a pay slip and a year statement (jaaropgaaf)?
The pay slip specification and year statement can be retrieved from InterUM Konnekt, our online portal.

Am I entitled to a holiday bonus?
All employees from InterUM are entitled to a 8% holiday bonus on top of the salary. This bonus is paid in May.
When the contract ends earlier, it will be paid out with the first payment following 6 weeks after the last payment.
Am I entitled to an allowance for work during irregular hours?
The terms of employment of Maastricht University include a working hours regulation. This states that employees that work outside of UM's business hours are entitled to an allowance over the worked hours.
The business hours are as follows:
- Monday up to and including Friday from 08.00h to 22.00h;
- Saturday from 08.00h to 16.00h.
For work outside of these hours an allowance of 140% will be granted. On Sundays and holidays this is an allowance of 175%.
The following groups of employees are an exception to this rule, if they entered employment on or after 1-11-2022, and will not receive an allowance:
- sports instructors;
- help desk assistants;
- student employees;
- employees working at a front desk or at the customer services of the Library administrative unit; and
- employees working at the desk of the UM Sport administrative unit.

Wage tax deduction
Amendment Wage Tax Deduction as of 01-01-2019
Wage Tax dependent on country of residence
As of the 1st of January 2019, no longer will all employees be automatically allegeable for the highest amount of wage tax deduction: the deduction an employee is allegeable for will depend on his or her country of residence.
Wage Tax Deduction
When determining the amount of tax InterUM has to withhold from your salary, a so-called ‘Loonheffingskorting’ (wage tax deduction) is taken into account. Applying this deduction will result in paying a lower amount of taxes. The ‘Loonheffing’ (wage tax) consists of the general tax deduction and the ‘arbeidskorting’ (labour credit).
From 2019 and onwards, when considering wage tax, employees will be divided into three different categories:
Employees living in The Netherlands; full wage tax deduction, general tax deduction as well as labour credit, can be applied.
Employees living in other Member States of the European Union, or Iceland, Norway, Liechtenstein, Switzerland, Bonaire, Sint Eustatius or Saba; partial wage tax deduction, only labour credit and no general tax deduction, can be applied.
Employees living in other countries than the before mentioned countries; no wage tax deduction can be applied.
Employees belonging to category 2 and 3 will be allegeable for less wage tax deduction and will pay more wage tax compared to previous years.
The country of residence registered at InterUM will be used to determine in which category an employee belongs and ultimately, the amount of wage tax one has to pay. Therefore, make sure that InterUM is always informed of the correct address and country of residence.

To how much paid leave am I entitled and will this be paid?
Employment contract with fixed hours:
The schedule below can be used to calculate the hours of paid leave that apply to a fixed-hours employment contract. You have to consume the hours of paid leave before the end of your contract; these days will not be paid afterwards.

Employment contract with deferred performance obligation (timesheet):
In case of an employment contract with deferred performance obligation, the leave entitlement adds up a precentage of the total amount of hours that have actually been worked. An overview of the accumulated entitlement in euro's can be found on the payslip. The rest of your leave days will be paid in the month December. Holiday bonus will be paid in the month May each year. Also, the rest of hours paid leave and the rest of your holiday bonus and annual bonus will be paid 6 weeks after your last timesheet is paid.
Where do I indicate my paid leave?

In case of a fixed-hours contract, you need to arrange the taking of leave at the workplace. InterUM does not need to keep record of these dates. If desired, you can download the leave-card below, so that both the employee and the workplace know how much leave days are taken during the contract period. Employment contract with deferred performance obligation (timesheet)
In case of a flexible contract, you can indicate the desired paid leave on the digital working sheet. These leave hours will be paid at the next payment. When the balance of paid leave hours is not sufficient, the total balance so far is transferred to the employee. In case you do not take leave during the contract period, you will receive the total balance of paid leave hours (plus holiday bonus) at the last payment.
Illness
What should I do if I'm sick during my employment?
In case you are ill, you need to report to the workplace as well as InterUM, by calling the office before 09.30 am.

Other
Do I need to mentioned my change of address to InterUM?
Yes, in case your address changes InterUM needs to receive the new correspondence address (also if you are not working for InterUM anymore). Just sent it by e-mail.
Do I need to identify myself at my workplace at any time?
You should at all times be able to identify yourself at the workplace, by means of a drivers license, identity card or passport.
Where can I find more information about working conditions?
The client takes care of the introduction and supervision of the employee at the workplace. According to the Dutch Labour Law, the client is responsible for the working conditions of hired temporary employees.
InterUM is the formal employer and has the legal obligation to inform the temporary employees about the job requirements and the risks they could face in the working environment. In this OHS-document we describe health and safety matters with respect to the possible risks faced by temporary employees in the exercise of administrative functions.

What if I have a serious complaint?
Internal complaints procedure
It could be that you have a complaint about us or our services; that’s inconvenient. We will always try to solve the issue together with you. In our internal complaints procedure we inform you about the way we deal with complaints.
Whistle-blowing
As of Juli first 2016 the House for Whistleblowers Act gives employee's the right and the responsibility to make a report of concerns about wrongdoing or irregularities within the organisation where they work or have worked or in another organisation if they came into contact with that organisation through their work activities.
Whistle-blowing is about activities within the responsibility of the employer where social importance is effected, like criminal activities or threats to public health.
At first, a suspicion or concern about wrongdoing or irregularities needs to be reported internally. The House for Whistleblowers Act offers the employer/organisation the option to assess the suspicion about wrongdoing or irregularities for themselves and make things right within the organisation if necessary.
If you want to report a concern about wrongdoing or irregularities at InterUM B.V., you can use the policy InterUM B.V. has set. You can find the policy here.
It is important to know that if you have a 'regular' complaint about InterUM B.V., were no social importance is effected, you need to use our internal complaints procedure as mentioned above.
Do I build up a pension whilst working for InterUM?
InterUM employees build up a pension as of 01-01-2021, via pension insurer a.s.r. Doenpensioen.

Requests
What contract options are possible for temporary employees?
Two options are possible;
1. An employee receives a fixed-hours employment contract (Flex 1)
You will hire this InterUM seconding employee for a fixed number of contracted hours. This employee receives a fixed-term workcontract from InterUM and is entitled to paid leave days, and receives a holiday bonus of 8% with the last payment in May, and/or on termination of the employment contract. Every four weeks, the agreed number of contract hours are invoiced. There is a probationary period of 4 weeks and leave hours must be consumed during the contract. As a matter of course, it is possible to have supplementary overtime paid out by means of a work slip, whether at an overtime rate or not.
2. An employee receives an employment contract with deferred performance obligation (Flex 2)
You will hire the InterUM seconding employee who will declare only those hours worked and noted on a timesheet. The employee receives a flexible contract. In addition to a holiday bonus, the hourly wage also includes percentages for leave (or personal) days, public holidays, special leave and short-term absence. You will receive four-weekly invoices, based on the InterUM work slips completed by the employee and signed by you for approval.

Foreign employees
Is it possible to hire an employee from outside the EU?
Is it possible to hire an employee from outside the EU?
Not everyone is allowed to work in the Netherlands. There are certain rules for people who are not from the EU/EER and Switzerland. Before they can get employed by InterUM, InterUM needs to apply for a working permit at the UWV.
InterUM only applies for working permits for students, because of the short procedure. For other employees there are more (devious) rules.
The procedure to apply for a working permit takes about 2 to 5 weeks. Please take this into account when you announce the new employee through our digital form. The student can start working when InterUM has received the working permit. We need the following document to apply for the working permit:
- Copy valid passport
- Copy valid residence card
- Certificate of enrolment of the current academic year
When InterUM receives the working permit, the student can start working. Please bear in mind the following conditions:
- Students are not allowed to work more than 16 hours per week or they can work full time only in the months June, July and August;
- The student can only work during the period for which the working permit is valid;
- Students are not allowed to work without a working permit, not even voluntarily!
Students from the following countries are allowed to work in the Netherlands without a working permit:
Belgium, Bulgaria, Cyprus, Denmark, Germany, Estonia, Finland, France, Greece, Hungry, Ireland, Iceland, Italy, Latvia, Liechtenstein, Lithuania, Luxembourg, Malta, Norway, Austria, Poland, Portugal, Romania, Slovenia, Spain, Czech Republic, Sweden, Switzerland.

Employment contract with deferred performance obligation:
In case of an flexible contract, the leave entitlement adds up to 12,88% of the total amount of hours that have actually been worked. An overview of the accumulated entitlement in euro's can be found on the payslip.
How do I keep track of my employees leave?
Employment contract with fixed hours
In case of a fixed-hours contract, the employee needs to arrange the taking of leave at the workplace. InterUM does not need to keep record of these dates. If desired, you can download the leave-card below, so that both you and the employee know how much leave days are taken during the contract period. Remaining leave will not be paid when this is not taken within the contract period. You can track this together with your employee by using this schedule.
Employment contract with deferred performance obligation (timesheet)
In case of a flexible contract,the employee can indicate the desired paid leave on the timesheet. These leave hours will be paid at the next payment. When the balance of paid leave hours is not sufficient, the total balance so far is transferred to the employee. In case the employee does not take leave during the contract period, he/she will receive the total balance of paid leave hours (plus holiday/end-of-year bonus) at the last payment.
Other
Do I need to check the identification of my employee?
In accordance with the Dutch 'Wet Arbeid Vreemdelingen' (law on employment regulations for foreign nationals) and the 'Wet op de Loonbelasting' (law on income tax) InterUM is legally required to verify the identity of the temporary employee, to keep the identity document in the record and to inform the temporary employee about his/her obligation to identify his-/herself on the workplace.
You also have the legal duty to verify the original identity document of the temporary employee before he/she starts working for you. However, you are not allowed to save the identity documents of Dutch temporary employees in your file. InterUM does this.
Your legal duties concerning the identity of non-Dutch temporary employees are a bit different:
Temporary employee with non-EU/EER/Swiss nationality: InterUM provides you with a copy of the identity document of the temporary employee, including the requested working permit. Both InterUM and you must verify these documents and keep them in your records for five years.
Temporary employee with EU/EER/Swiss nationality: You will need to obtain a copy of the identity document of the temporary employee yourself, and keep it in your records for five years. Unfortunately, InterUM is not allowed to provide you with this document, but is also obliged to keep the identity document in her own records. In case of control by the authorities, you have the legal duty to enable the temporary employee to fulfil its identification requirements.
What about occupational health and safety (OHS) regulations?
The client takes care of the introduction and supervision of the employee at the workplace. According to the Dutch Labour Law, the client is responsible for the working conditions of hired temporary employees.
